TERMS AND CONDITIONS OF RENTAL

1. Security Deposit

We do not require a security deposit for rentals. However, a valid credit card must remain on file for the duration of the rental period.

2. Payment

All rental payments must be made in advance or at the time of pick-up. Accepted payment methods include cash, checks, or major credit cards.

3. Rental Period

The minimum rental period is 24 hours.

All rentals must be returned by noon on the specified return date unless prior approval is granted by a BOLT LED representative.

Late returns will incur an additional day’s rental fee for each day the equipment is not returned.

Weekend rentals follow a specific timeline: equipment may be picked up after 1:00 PM on Friday and must be returned by noon on the following Monday.

4. Weekend Rentals and Packages

Consumer packages and weekend rental rates are based on “over-the-counter” rentals, meaning the renter is responsible for picking up and returning the

equipment. After-hours or weekend pick-up and return appointments can be arranged for an additional fee, determined by staff availability.

5. Rental Reservations

To guarantee equipment availability, all rentals must be reserved in advance. A reservation is complete once the signed estimate and deposit are received.

This can be done digitally via the link provided in our email or by printing, signing, scanning, and returning the estimate. Equipment availability cannot be

guaranteed for non-reserved rentals or walk-in customers.

6. Knowledge and Operation

The renter is responsible for understanding how to set up, operate, and dismantle the rented equipment. A team member will provide guidance and answer

any questions at the time of pick-up or delivery. BOLT LED VIDEO WALL RENTAL AND SALES also offers technical assistance via phone for after-hours or

weekend support.

7. Liability

By signing the rental agreement, the renter assumes full liability for the equipment while it is in their possession. The renter is financially responsible for any

equipment that is lost, stolen, or damaged, as well as any revenue lost due to late returns or damage. All fees will be charged to the credit card on file unless

alternative payment arrangements are made.

8. Discounts and Refunds

Discounts or refunds will only be issued in the event of equipment malfunction. Refunds will not be granted for user error, acts of nature, or event cancellations

after the rental is finalized. All refunds or discounts are at the discretion of a BOLT LED VIDEO WALL RENTAL AND SALES team member.

9. Rentals with Labor

Weekend Rentals and Packages

Consumer packages and weekend rental pricing apply only to over-the-counter rentals. When delivery, pick-up, or labor services are added, standard rental

rates apply.

10. Labor Terms

Basic setup and teardown labor is limited to two hours and applies only to equipment rented from BOLT LED.

Labor rates are based on a 10-hour full day or a 5-hour half-day, with overtime rates of 1.5x the standard hourly rate applied to hours exceeding 10 in a day.

Full-day rates require a one-hour dinner break. A half-hour meal break may be substituted if the client provides all crew members with a hot meal and

beverage.

11. Parking

The renter is responsible for providing parking passes or reimbursing parking fees for all BOLT LED team members

involved in the event. Parking fees will be charged to the credit card on file unless other arrangements are made.

12. Venue Costs

The renter is responsible for all venue-related charges, including but not limited to rigging, power, power distribution, security, and liaison fees.

13. Insurance

BOLT LED will provide a Certificate of Insurance (COI) to the event venue upon request. COIs are only available for

events where BOLT LED provides labor to set up, operate, and dismantle the equipment. For rentals managed by

individuals other than BOLT LED technicians, the renter must provide their own insurance coverage.

TERMS AND CONDITIONS OF SALE

The following Terms and Conditions of Sale apply to all products purchased on BOLTLED.NET and its third-party online marketplace outlets.

Sales Agreement

For invoice purchases through our sales department, please refer to the sales agreement included with your sales order.

1. Online Order Acceptance

All online purchases of LED Video Panels or Video Wall Package SKUs without prior consultation with BOLT LED are subject to technical review and acceptance after checkout. If the order does not meet minimum technical requirements or lacks necessary accessories NOT IN STOCK, it may be canceled, and payment will be refunded to the Customer.

2. Acceptance of Terms

BOLT LED’s initiation of performance or delivery does not waive these terms or constitute acceptance of any alternative terms in the Customer’s order. By accepting any product, service, or making payment, the Customer agrees to BOLT LED’s terms and conditions. Any disputes will be governed by the laws of the State of CALIFORNIA.

3. Payment Policy

All online purchases require advance payment via Credit Card or Electronic Funds Transfer (ACH/Wire). Customers may also mail a check or use third-party financing. Order processing begins only after payment clears or financing is completed. Reversals or chargebacks will result in order cancellation or withholding of further services, with incurred costs charged to the Customer. In case of payment reversal after delivery, BOLT LED may initiate collection efforts, including repossession, UCC filing, and/or legal action, with all associated costs recoverable from the Customer.

4. Delivery and Transfer of Goods

BOLT LED will make reasonable efforts to ship orders as per the estimated delivery times provided during checkout or in subsequent communications. These estimates are not guaranteed. Any delays or failures to meet delivery schedules do not constitute a breach of contract or entitle the Customer to damages. BOLT LED retains discretion over shipping methods, and expedited shipping costs will be borne by the Customer. Risk transfers to the Customer upon delivery of goods in good condition to the carrier (FOB BOLT LED’s factory or warehouse). Partial shipments require Customer approval. All taxes, duties, and related charges are the Customer’s responsibility. If the Customer is unable or unwilling to take delivery, BOLT LED may store the goods at the Customer’s expense.

5. International Shipping Policy

The Customer is responsible for determining export licensing requirements, obtaining necessary licenses, and managing customs formalities. A commercial invoice will be provided upon shipment. Customers must pay all import duties, taxes, and VAT. Orders shipped to a forwarding address are considered delivered to the specified export location.

6. Inspection and Damage Policy

Customers must inspect goods within 10 days of receipt and report shortages or damages within this period. Claims for transit loss or damage must be filed directly with the carrier. BOLT LED will assist in claims processing without waiving payment terms.

7. Order Change Policy

Order changes made 7 business days after deposit or payment submission may incur a 3% change fee. Accessories or materials already produced must be purchased. Changes are not permitted after production completion or 30 days, whichever occurs first.

8. Cancellation Policy

Orders may be canceled without penalty within 2 business days of submission. After this grace period, cancellations incur a 10% fee. Custom orders, non-stock items, and orders over 30 days old are non-cancellable.

9. Return Policy

Return eligibility depends on the product type:

  • Individual Products/Accessories (Not Including Processors/Controllers): Returnable within 30 days of delivery.
  • Mobile/Rental Video Wall Packages: Returnable within 30 days of delivery.
  • Fixed Install Video Wall Packages: Not returnable.
  • Digital Signage: Not returnable.
  • LED Video Wall Processors and Controllers: Not returnable.

Unauthorized returns will not be accepted. Returned products must be unused, in original packaging, and in saleable condition. Returns are subject to inspection and a restocking fee of $25 or 20% of the purchase price (whichever is greater), plus repacking costs. Shipping costs are non-refundable. Refunds are issued to the original payment method after inspection.

10. Force Majeure

BOLT LED is not liable for delays or failures due to circumstances beyond its control, including but not limited to acts of God, natural disasters, war, government actions, labor disputes, shortages, transportation issues, and pandemics. BOLT LED may cancel orders without liability under such conditions.

11. Future Expansion and Additions

The Customer acknowledges that color and brightness variations may occur due to production batch differences or LED aging. BOLT LED cannot guarantee batch matching for expansions. These variations are not grounds for return or warranty claims if the product functions as intended. Customers must notify BOLT LED of expansion intentions to facilitate batch-specific support.

12. Installation and Deployment Responsibility

Online purchases include equipment only and exclude on-site installation services unless specified. The Customer is responsible for proper installation per product guidelines. Improper installation may void warranties and return eligibility. BOLT LED offers remote technical support but excludes third-party installation services from its warranty. Warranty claims may involve authorized service providers selected by BOLT LED.
